Q: How does the process work in terms of getting started?

A: We like to set up a convenient time with prospective clients to introduce ourselves and tell you about the services that we offer.  It is also a good time for you to ask any questions that you may have about how the whole process works.  The next step is for us to send you a contract.  Once you sign the contract and send it back, we can get started immediately.


Q: Is there a setup fee for your medical billing services?

A: We don’t charge a set up fee unless you terminate your contract within the first 180 days.  If you terminate your contract within the first 180 days, the set up fee is $350.00.


Q: What is the contract period?

A: Our contract runs month to month.  We require 30 days written notice to terminate.


Q: Do you verify benefits for my patients?

A: Yes.  This is one of the most important parts of the whole process.  We obtain full benefits information, including deductibles, out of pocket amounts, visit limits, policy exclusions, and authorization information.  We do our absolute best to obtain as accurate information as possible to ensure a smooth process from billing to receiving payment.


Q: How do we communicate our billing information to you?

A:There are many different ways that this can be done – at the beginning of our contract, we will discuss all options.  1. We can do it the old fashioned way where you fax us copies of superbills, or a billing worksheet; 2. You can email us a spreadsheet; 3. You can enter your charges into a google document that we would create for you; 4.  You can use the charge capture feature in our software.


Q: Do you follow up on denied or unpaid claims?

A: YES. We run an aging report monthly and follow up on anything over 30 days.  We communicate updates to you on a regular basis on any issues with aging claims.


Q: How does Wellness Billing Services get paid?

A:We don’t get paid until you get paid.  We invoice you monthly on the monies you received over the last month.  We invoice you a percentage on what you got paid, so we have every incentive to work on unpaid claims, and not let anything fall through the cracks.


Q: Do you help me set my fees?

A:YES. We can provide you with average fees for your area, and can discuss what they should be based on your cash rate.


Q: I am new to this whole insurance process.  Do you provide assistance and answer my questions?

A:  YES.  We take on many clients that are very new to the insurance process.  We help you every step of the way!  We have awesome customer service, and lots of patience and knowledge.
